Batch Timing Change Policy – Digital CourseAI

At Digital CourseAI, we understand that students may occasionally need to change their batch timing due to personal, academic, or professional reasons. To ensure smooth coordination and fairness to all learners, the following policy applies to all batch timing change requests.

1. Eligibility for Batch Timing Change

  • A student may request a batch timing change only once during the course duration.
  • Requests are accepted within 15 days of batch commencement or before the completion of 25% of the course, whichever comes first.
  • Timing changes will only be granted if seats are available in the desired batch.

2. Valid Reasons for Batch Change

Requests will be considered under the following valid reasons:

  • Change in work schedule or job timing
  • Health-related issues (with proof if applicable)
  • Unavoidable personal commitments or family reasons

Requests without a valid reason may not be approved.

3. Procedure to Request Batch Timing Change

  • Submit a Batch Change Request Form via the official student portal or email at admin@digitalcourseai.com.
  • Mention your current batch details, desired batch timing, and reason for the change.
  • The Academic Coordination Team will review the request within 3–5 working days.
  • Confirmation will be shared via email once the transfer is approved.

4. Terms and Conditions

  • Batch changes are subject to seat availability and faculty approval.
  • If the request is approved, the student must continue attending the current batch until the new batch’s start date.
  • No refunds or fee adjustments will be made due to a change in batch timing.
  • If the student misses classes due to a self-requested batch change, Digital CourseAI will not be responsible for compensatory sessions.

5. Denial of Request

Digital CourseAI reserves the right to decline any batch timing change request if:

  • The batch is already at full capacity.
  • The student has previously requested a timing change.
  • The reason provided is not deemed valid or genuine.

6. Special Cases

In exceptional circumstances (medical emergencies, relocations, etc.), management may approve additional flexibility at their discretion.
